Terms of service

These terms are the agreement between Carion Labs (“Carion”, “we”) and the business that signs up to use Carion (“you”, “the host”). By requesting access, accepting an invitation or using the service you agree to them. Guests of a property are not a party to these terms; their relationship is with the property, and the privacy notice tells them how their data is handled.
1. The service
Carion is property-management software for hostels, hotels, guest houses and homestays: reservations, a bed and room grid, guest records, folios and payments, housekeeping and operations, channel-manager connections, a guest portal and reporting. Features change as the product develops. We may add, change or retire a feature; we will not remove something you depend on without reasonable notice.
2. Accounts
- New host accounts are reviewed before activation. You must give accurate details about yourself and the property, and you must be authorised to act for it.
- You decide who is on your team and what each person can see or do. You are responsible for their use of Carion and for keeping sign-in details private. Tell us at once if you suspect unauthorised access.
- You must be at least 18 years old.
3. Trial, plans and payment
- A new organisation starts with a 30-day free trial. No card is needed to start.
- Paid plans are billed monthly in advance, in Indian rupees, through Razorpay. The price of each plan is shown on the Billing screen before you subscribe. Taxes, where they apply, are added as the law requires.
- We may change prices for future billing periods with at least 30 days’ notice by email or in the app. A change never applies to a period you have already paid for.
- If a payment fails we will tell you and try again. If it stays unpaid we may limit the account to read-only and export access until it is settled. We do not delete your data for non-payment without the notice in section 9.

4. Your data and your guests’ data
- Everything you and your guests enter remains yours. We claim no ownership of it and do not sell it, share it with advertisers or use it to train AI models.
- For guest personal data you are the data fiduciary under India’s Digital Personal Data Protection Act, 2023, and Carion is your data processor. The Data Processing Addendum we give you at onboarding forms part of these terms: it sets out what we process, on whose instructions, the security measures, the sub-processors, breach assistance and deletion at the end of the contract. The current sub-processor list is on the privacy notice.
- You are responsible for having a lawful reason to collect what you collect from guests, for giving them any notice the law requires at your property, and for answering their requests. Carion gives you the tools: exports, retention settings, correction and deletion.
- You can export bookings, your guest register and finance data at any time from the app.
5. Compliance tools are assistance, not filing
Carion helps you meet duties that remain yours. The Form III (Form C) module prepares foreign-guest details and reminds you of the 24-hour window; you file on the government portal and you remain responsible for filing on time. GST settings print what you configure; you are responsible for your registration status, rate and returns. Aadhaar is verified from its QR code and never copied. Guest-register exports are in a general format; check what your local police require. Nothing in Carion is legal or tax advice.
6. The Cari assistant
Cari answers questions about your own property using AI models run by third parties. It can be wrong. Check anything that matters before acting on it. Cari never makes a change without your confirmation.
7. Acceptable use
You agree not to:
- use Carion for anything unlawful, or to store data you have no right to hold;
- try to access another property’s data, probe or disrupt the service, or get round any limit or security control (to report a vulnerability, see below);
- send unsolicited marketing to guests who have not agreed to receive it;
- resell or sub-license the service without our written agreement;
- upload malware, or content that infringes someone else’s rights.
Security researchers: report findings to carionlabs@gmail.com. We will not take action against good-faith research that avoids guest data, avoids disruption and gives us reasonable time to fix.
8. Availability, backups and support
- We work to keep Carion available at all times but do not promise uninterrupted service. Planned maintenance is done at quiet hours where we can.
- The database is backed up every night, encrypted, to a separate location, and restores are rehearsed. A restore returns the platform to the chosen point; it is a safeguard against disaster, not a per-record undo.
- Third-party services you connect (channel managers, OTAs, payment providers, messaging) are governed by their own terms. We are not responsible for their outages or decisions.
- Support is by the in-app Report button and email, during Indian business hours.
9. Ending the agreement
- You may stop using Carion and cancel your plan at any time.
- We may suspend or end an account that breaks these terms, puts other hosts or guests at risk, or stays unpaid, with notice unless the risk is urgent.
- After the agreement ends you have 30 days to export your data. We then delete it on request, or within 90 days, except what the law requires us to keep and what remains in encrypted backups until they expire (35 days).
10. Liability
Carion is provided “as is”. To the extent the law allows, we are not liable for indirect or consequential loss, lost profit or revenue, penalties for late or missed statutory filings, or the acts of third-party services. Our total liability for any claim is limited to the fees you paid us in the 12 months before the event. Nothing in these terms limits liability that cannot be limited by law.
11. Changes to these terms
We will post changes here and move the review date. For a change that materially affects you we will give at least 15 days’ notice by email or in the app. Continuing to use Carion after that date means you accept the change.
12. Law, disputes and grievances
These terms are governed by the laws of India. Courts at Goa, India have exclusive jurisdiction. Before going to court, write to us and give us 30 days to put things right.
